Italy Diplomatic Visa

Overview

The Italy Diplomatic Visa allows diplomatic, service, and authorised passport holders to travel to Italy for official duties related to diplomatic missions, international relations, and governmental representation. This visa is issued for both short-term stays (Schengen Visa) and long-term assignments (National Visa) based on the nature and duration of the mission.

Holders of this visa can travel across the Schengen Area for official purposes for up to 90 days within 180 days. For long-term assignments, a Type D (National Visa) is required.

Important:

  • Appointments must be booked in advance and applicants must appear in person.
  • The border authorities can refuse entry if visa or documentation requirements are not met.

Eligibility

To apply, you must:

  • Be a diplomat, government official, or an authorised public servant representing your government.
  • Hold a valid passport (Diplomatic, Service, or Official Passport).
  • Have official documentation from the diplomatic mission or international organisation.
  • Be a legal UK resident (not on a UK C-visit visa).

Special Exemptions:

  • UK Travel Document Holders (Refugee or Stateless Persons) can enter visa-free for up to 90 days.
  • School pupils on EU-approved school trips are exempt with official school documentation.

Processing Time

  • Minimum15 calendar days (for Schengen visas).
  • Maximum:
    • 45 days for Schengen Visa (in complex cases).
    • 90 days for National Visa (long-term assignments).

Documents Required

Visa Application Form

  • Duly completed and signed in English.
  • For minors, the form must be signed by both parents/legal guardians.

Valid Passport or Travel Document

  • Original passport with at least two blank pages.
  • Must be valid for at least 3 months beyond the intended departure date from Italy.
  • Copy of the passport’s first page (biometric data) and copies of visas issued in the past 3 years.
  • If visas were issued in an old passport, include:
    • Copy of the old passport’s first page.
    • Copies of relevant visa stamps.

UK Residency

  • UK eVisa printout from UKVI with a valid share code.

Passport-Sized Photographs (Biometric Standards)

  • Two recent passport photos (not older than 6 months).
  • Dimensions: 35 mm x 45 mm.
  • Specifications:
    • White background.
    • Full-frontal view with a neutral expression (mouth closed).
    • Eyes must be clearly visible (natural eye colour visible).
    • No digital alterations (e.g., Photoshop).

Proof of Diplomatic or Official Status

  • Original Staff ID card (plus a photocopy) issued by the applicant’s diplomatic mission.
  • If no Staff ID card is available, provide:
    • Official letter from the sending authority confirming the applicant’s position and purpose of travel.

Verbal Note from the Diplomatic Mission (Official Communication)

Issued by the applicant’s Diplomatic Mission in the UK, specifying:

  • Applicant’s full name and nationality.
  • Diplomatic role (indicate if it’s a new position or replacing someone; if replacing, mention the predecessor’s name and position).
  • Start date of diplomatic assignment.
  • Details of family members accompanying the applicant (full names, dates of birth, relationship to the applicant).

Proof of Travel Arrangements (To/From Italy)

  • One-way travel ticket reservation (original and copy).
  • Depending on travel method, provide:
    • Air/Train/Bus Tickets: Must be issued directly by the airline/train/bus operator (not via third-party aggregators).
    • Car Travel:
      • Ferry/Eurotunnel booking confirmation (original + copy).
      • Car registration and insurance documents (original + copy).
      • Driver’s licence (original + copy).
      • If the car is rented, provide the rental agreement.
    • Third-Party Bookings:
      • Tickets from travel agencies are accepted only if the agency is based in the UK or a Schengen country.

Proof of Accommodation in Italy

Provide one of the following:

  • Hotel reservation (covering at least the first 15 days of stay).
  • Rental agreement (if leasing a private residence).
  • Official diplomatic accommodation confirmation (if staying at a diplomatic residence).
  • If staying with friends/family:
    • Letter of invitation (signed by the host).
    • Copy of the host’s passport/ID card (showing the signature).
    • If the host is a non-EU citizen, include proof of their valid Italian residency permit.

Travel Insurance (Health Coverage in Italy)

  • Original travel insurance certificate (plus a copy) issued by a UK or Schengen-based insurance provider.
  • Must cover:
    • Full duration of stay.
    • Minimum coverage of €30,000 (for medical emergencies, hospitalisation, and repatriation expenses).
    • Schengen-wide validity (valid across all Schengen countries).

Family Members Accompanying the Diplomatic Applicant (If Applicable)

  • Proof of relationship (e.g., marriage or birth certificate).
  • Copies of passports for accompanying family members.
  • If family members apply later, ensure the Verbal Note includes their names.

Special Requirements for Certain Nationalities (Pakistan, Afghanistan, Iraq, Palestine)

Applicants from these countries or Travel Document Holders (with ICAO codes XXA or XXB) must provide:

  • Original birth certificate (showing full names of both parents).
  • If unavailable, a Consular declaration from their home country’s consulate in the UK.

Important Notes:

  • Incomplete Applications: Applications missing any of the required documents will be rejected. A new appointment will need to be scheduled.
  • Translation Requirements:
    • Documents not in English or Italian must be accompanied by a certified translation.
    • Foreign-issued documents must be legalised by the Italian Embassy/Consulate in the issuing country.
  • Travel Document Holders (Exemptions):
    • UK Travel Documents issued under:
      • 1951 Geneva Refugee Convention (Blue cover)
      • 1954 UN Convention for Stateless Persons (Red cover)
    • Visa-exempt for stays up to 90 days. For longer stays, provide the original travel document + copy.
